Terms of use

1. Purpose of the service

FichasDoc offers a visual editor for product spec sheet templates, a document-generation engine producing PDF and Word files, a public generation API, connections to external systems (ERP, online stores, product-data-synchronization networks) to receive product data automatically, and a dashboard to manage templates, documents, team and billing.

2. Registration and account

Using FichasDoc requires registering an account with a valid email address and verifying it. The customer agrees to provide truthful information and keep it up to date, and is responsible for the confidentiality of their credentials and for all activity that takes place under their account.

An account can belong to an organization with several members, each with a role (owner, admin, member or service provider) that determines what they can do within the organization. The organization owner bears ultimate responsibility for billing decisions and access management.

3. Plans, limits and trial period

FichasDoc is offered through monthly or annual subscription plans, each with a limit on documents generated per month and on active templates at any one time. Archived templates do not count towards that limit.

Every new account gets a 14-day trial with no card required, using the Starter plan's limits. If the trial ends without a plan being chosen, document generation is blocked until one is purchased; the rest of the dashboard remains accessible.

If the contracted plan's document limit is reached, generating new sheets is blocked until the next billing period or until the customer upgrades their plan.

4. Prices, billing and taxes

Current prices for each plan are shown on the Site's pricing page, in euros and excluding tax unless stated otherwise. The applicable tax (VAT or equivalent) is calculated automatically based on the customer's country and, where relevant, their intra-EU VAT number.

Payment is processed through Stripe by credit or debit card. Subscriptions renew automatically at the end of each period (monthly or annual) unless the customer cancels before renewal. Upgrading to a higher plan takes effect immediately, prorating any amount already paid; downgrading to a lower plan takes effect at the start of the next billing period.

If a renewal payment fails, it will be retried over a period of roughly two weeks; if it still cannot be collected, document generation will be blocked until payment is resolved.

5. Customer obligations

The customer is solely responsible for the content they enter into their templates and for the final content of the sheets they generate, including its accuracy, currency and compliance with the regulation applicable to their product and the markets where it is sold. The starter templates FichasDoc offers for various document types are an indicative starting point and do not constitute legal, technical or regulatory advice.

The customer agrees not to use FichasDoc to generate false or misleading documentation, or documentation that infringes third-party rights, and not to enter into the service data they have no right to process (for example, third parties' personal data without a legal basis for doing so).

6. Ownership of content

Templates, product data and documents generated by the customer belong to the customer. FichasDoc only stores and processes them to provide the contracted service, as described in the Privacy Policy.

7. Availability and support

FichasDoc aims to keep the service continuously available, but does not guarantee one hundred percent uptime and may interrupt it occasionally for maintenance, incidents or causes beyond its control. Where reasonably possible, planned interruptions will be announced in advance.

8. Suspension and cancellation

The customer may cancel their subscription at any time from the dashboard; the service remains active until the end of the period already paid for. FichasDoc may suspend or cancel an account that seriously breaches these terms, repeatedly fails to pay, or uses the service in a way that endangers its security or that of other users.

After a subscription is cancelled or lapses due to non-payment, documents and related files are kept for a further 30 days, after which they are deleted as described in the Privacy Policy.

9. Limitation of liability

To the extent permitted by applicable law, FichasDoc will not be liable for indirect damages, lost profits or data loss arising from use of the service, nor for the consequences of a sheet generated by the customer being incorrect, outdated or non-compliant with the regulation applicable to their product: that responsibility lies with the customer under section 5.

10. Changes to these terms

These terms may be updated to reflect changes to the service or to applicable law. Material changes will be communicated to customers with reasonable notice; continued use of the service after changes take effect constitutes acceptance of them.

11. Governing law and jurisdiction

These terms are governed by Spanish law. For any dispute relating to them, the parties submit to the courts of FichasDoc's domicile, unless consumer-protection law or other mandatory applicable law provides otherwise.
